A parts warehouse manages thousands of item codes, some counted individually and others in bulk. A team of several people performs the count, often with support from outside staff, and each discrepancy requires an individual explanation before an adjustment can be made.

The inventory is divided among participants, with each person's progress visible. Items are located by scanning barcodes, and every discrepancy is classified by cause and assigned to the person responsible for resolving it.

Up to ten operators count in parallel without duplicating aisles, and every discrepancy is classified and resolved before completion.

I designed and built the complete inventory workflow, location assignments, barcode scanning, and discrepancy management.

The application divides the warehouse among several operators and requires every discrepancy to be resolved before completion.

Parts inventory states The inventory moves from loading to counting, review, and completion. It can be canceled during active phases, fails if the catalog does not load, and an administrator can reopen a completed inventory with an audit record. The inventory can be completed only when no discrepancies are pending or under review. An administrator can reopen it, return it to review, and record the change in the audit log.

The system in operation

The count is performed on a phone on the warehouse floor, then closed by the corporate team with an audited result and an explanation for every discrepancy.

On the warehouse floor

Scanning with a Zebra mobile computerThe operator uses a Zebra device with an integrated scanner to read the code printed on the box. The application identifies the item immediately, leaving only the quantity to enter.
Inventory counts by locationEach inventory shows its progress, count mode, participants, and open discrepancies.
Verified item detailsEach item includes its code, unit, warehouse location, and counted quantity, with export to Excel and PDF.

At the corporate office

Inventory completionAfter counting is complete, the dashboard groups discrepancies by status and calculates the efficiency rate. In this inventory: 45 discrepancies, 41 resolved, 4 with quantity differences, and 2 overages. Valuation figures were blurred for confidentiality.
